Session Preparation

Weeks before the Conference

The last few weeks before the conference takes place are crucial for your enjoyment of the session. By laying some ground rules you can make your final experience much smoother. Below are some much needed things to take care of before the 18th Regional Selection Conference of EYP CZ Hradec Králové 2025: 

    • Get enough sleep – The session will be much more enjoyable if you are well rested! Try to get at least 8 hours of sleep the week before the conference. 
    • Stay safe – Don’t let injuries or sickness get in the way of your attendance.  
    • Book tickets early – There are going to be around a hundred Delegates at the session, make sure you book your tickets early, so you get your preferred transportation option. 
    • Watch out for Organisers’ deadlines  Do not forget to fill out all forms that are sent to you by your Organisers! 
    • Manage your school responsibilities  If there is an exam scheduled for the time of the session, talk to your teachers ahead of time. The earlier you ask, the higher the chance they will help you find a solution. If necessary, we can provide a letter of absence upon your request.

Taking care of these tasks in advance should take little time and help a lot!

Days before the Conference

The week before the session is the ideal time to prepare for your Regional Selection Conference! Here are some key things to do: 

    • Introduce yourself to your Committee – If your Chairperson has reached out to you, they have probably asked for a short introduction. Take a moment to send it over and read through who your fellow Delegates are. 
    • Read the Topic Overview (TO)  If you have not yet, now is the time! The TO contains crucial knowledge with which you can actively participate in discussion and effectively contribute to your Committee.  
    • Do some extra research  The TO contains a lot of extra sources. We recommend going through these in your free time so you can bring valuable insights during Committee Work. 
    • Skim through the rest of the TO Having general knowledge of other Committees’ topics is going to be handy for making points during the General Assembly. 
    • Send over your signed Code of Conduct to the Organisers This makes the check-in run faster and gives you one less thing to worry about later. 
    • Catch up on schoolwork – Check for any upcoming deadlines so you do not have to do any homework instead of enjoying the session to the fullest.
    • Begin with the packing – Make a packing list and figure out what you need to bring with you to the session. Double-check you have everything important with you.
    • Plan your Eurovillage meal – Agree with your Delegation on what each one of you wants to make and get the ingredients. Make sure you start cooking just at the right time to finish it in time. 

One Day before the Conference

This is your last chance to get everything sorted out, so here is how to make the most of it: 

    • Check the Packing List The Organising Team has made a list of everything you will need, so go through it and make sure you pack it all. Do not forget anything! 
    • Pack any extras Our packing list only covers the essentials, but if you need to bring any personal items you may need during the session, then do not forget to add them to your luggage.
    • Do not overpack – Pack only the essentials you need. Make sure your bags are light, so it is easy to carry them throughout the session. 
    • Charge your devices Make sure you charge your devices before the session and bring your chargers with you. 
    • Sort out more school stuff Ask your classmates to fill you in on anything you will miss during your time at the session. 
    • Prepare your Eurovillage food If your meal needs cooking, the night before is usually the best time to get it ready. 

With everything packed and ready you are all set for an amazing session. 

Morning of the Conference

It is finally here! All your prep has led up to this. Here is how to make sure your morning sets you up for a great session: 

    • Bring your Code of Conduct – If you have not sent an electronic copy, do not forget to bring it with you. You will not be able to take part in the event without it. 
    • Go through the Packing List one last time Make sure you have got everything. 
    • Pack any personal essentials This includes medication or anything else you personally need. 
    • Do not forget your Eurovillage meal It would be a shame to leave it behind after all that effort! 
    • Count your luggage Keep track of how many things you are bringing so you do not lose anything while travelling. 

Now you are all set – time to head off and enjoy the session!
